Why Your Appointments Don’t Show Up in the Mobile App And How to Fix It Fast

Let me tell you something I’ve learned after years inside HighLevel: If something doesn’t sync, nobody stays calm. Not you. Not your clients. Definitely not the poor VA refreshing their screen like it owes them money. 😂

One of the most frustrating issues I see over and over is this: “My appointment is in the calendar… but it’s NOT showing up in the mobile app.”

Gerard hit this exact wall. Appointment scheduled ✔
Visible in the main calendar ✔
Nowhere to be found in the app ❌

If this sounds familiar, grab your coffee, this is fixable, and I’ll walk you through it the same way I walked Gerard through it.

So… Where Did the Appointment Go?

Here’s the fun thing about syncing: it works perfectly until it doesn’t.

When an appointment shows in the browser version of HighLevel but not in the mobile app, it almost always comes down to one of these two issues:

  1. Your notification settings aren’t fully enabled
  2. Your calendar isn’t connected to Google Calendar

And yes, #2 catches people off guard every time.

Step 1 — Make Sure Notifications Are Actually On

I know, I know… it feels too simple.

But I’ve seen more people fight with the app for days just to realize they never turned on in-app notifications.

If notifications are off, the app has no “permission” to pull the latest activity.

Here’s what I always check:

✔ In-App Notifications

Make sure they’re enabled inside HighLevel’s notification settings. Not just your phone settings, I mean inside your HL profile.

✔ Device-Level Permissions

Your phone needs to allow notifications from the HL mobile app.

If either of these is off, the app won’t refresh new appointment data.

Step 2 — Check Your Google Calendar Integration

This was Gerard’s culprit.
His appointment was real, valid, booked, beautiful… but his calendar wasn’t integrated with Google.

And here’s the key:

If your calendar isn’t connected to Google Calendar, the mobile app doesn’t always sync appointments instantly or at all.

Why? Because the mobile app relies on that integration pipeline for real-time syncing.

Without it, your appointments live in “desktop-only limbo.”

How to check:

  • Go to Settings → Calendars
  • Select your calendar
  • Look for the Google Calendar connection banner
  • If it says “Not Connected”,  bingo. That’s the problem.

What to do:

Connect it! Once the integration is active, the pipeline opens and everything starts syncing as it should.

Bonus — Other Things That Can Cause Syncing Weirdness

These don’t happen as often, but I’ve seen them enough to put them on your radar:

  • Multiple calendars inside the same pipeline
  • Duplicated calendars with similar names
  • Appointments created through custom forms that skip default workflows
  • Node connection updates or account-level sync delays

If you have a calendar setup that looks like a bowl of spaghetti, clean it up. Your future self will thank you.

Final Thoughts

Your mobile app is only as good as the data pipeline feeding it.

If appointments go missing:

  • ✔ Check notifications
  • ✔ Check your Google Calendar integration
  • ✔ Make sure nothing is blocking sync

Once Gerard reconnected everything, his appointments popped up instantly, no magic, no hacks, no “turn your phone off and on.” Just simple settings most people overlook.

If you want HighLevel to feel easier, smoother, and way less chaotic, that’s literally why HL Pro Tools exists.
