Follow the detailed steps below to complete the setup.
Imagine this. Your agency is blowing up. You have leads pouring in from Facebook, SMS, email, and webchat all at the exact same time. You open your inbox, and there are 500 unread messages staring back at you in one chaotic pile.
Your top closer is trying to find the high-intent SMS leads, but they have to manually rebuild their inbox filters every single time they log in. They click five different dropdowns, hunt for specific tags, and waste twenty minutes just trying to figure out who to text back first. Meanwhile, a massive VIP deal slips through the cracks because their message got buried under 300 automated appointment reminders.
You cannot scale an agency if your team has to manually sift through a mountain of messages every single day. HighLevel fixes this instantly with Conversation Views. You can build custom, one-click inboxes for your team so they instantly focus on the exact leads they need to close without ever rebuilding a filter. Let us lock in your perfect inbox workflow right now.
Ready to streamline this? Here is exactly how to do it in 60 seconds:
Part 1: Navigate to Your Views
First, we need to access the command center for your inbox.
- Go to your main Conversations tab on the left sidebar.
- Click on Views to access your filter dashboard.
- Click the + Create View button to start building your custom inbox.
Part 2: Name and Filter Your Custom Inbox
Now we tell the system exactly what messages belong here.
- Name the view clearly so your team knows exactly what it is (e.g., “High-Intent SMS” or “Unassigned Support Emails”).
- Apply your desired filters. You can use multiple options and combine them seamlessly using AND/OR logic.
- Filter by Last Message Channel (SMS, Email, Instagram), Tags (to surface priority leads), Last Outbound Message Type (Manual vs. Automated), or even SLA to track response times.
Part 3: Make It Dynamic for the Team
If you want to build one master view that works for everyone, you need to use dynamic filtering.
- When setting up user-based filters like Assigned To, Followers, or Mentions, select the Logged In User option.
- This means when your closer opens the view, they only see their assigned leads. But when your support rep opens the exact same view, it dynamically updates to show theirs.
Part 4: Save and Share
Let us lock it in and roll it out to the agency.
- Click Create View to save your setup. It will instantly appear under your Views tab for lightning-fast access.
- If you are an Admin, you can open the view’s menu and click Share to push this perfectly organized inbox out to the rest of your teammates. You can also Edit or Delete it from this exact same menu.
Saving your custom views ensures your team stops playing hide-and-seek with hot leads and spends their time actually closing deals.
