Quick start
- Navigate to Opportunities in your left-hand menu.
- Click Pipelines at the top.
- Click the Create New Pipeline button.
Follow the detailed steps below to complete the setup.
Picture this. You just crushed a discovery call. The prospect is fired up, the pain points are clear, and they say the magic words: “Send me the proposal and I’ll sign.” You scribble their name on a sticky note, slap it on your monitor, and immediately jump onto three back-to-back client calls.
By Friday, that sticky note is buried under a coffee mug. The weekend passes. You finally remember to email them on Tuesday morning, but it is too late. They already signed with a competitor who followed up ten minutes after their call. You didn’t lose the deal because your service is worse. You lost because your sales process is an unorganized mess of sticky notes, fragmented spreadsheets, and scattered brainpower.
What if you had a visual machine that told you exactly where every single dollar was sitting at any given moment? HighLevel’s Pipelines and Opportunities feature is the ultimate fix. It organizes your sales flow, automates the tedious follow-up, and guarantees no lead ever gets left behind.
Ready to streamline this? Here is exactly how to do it in 60 seconds:
Part 1: Create Your Sales Pipeline
Setting up a new pipeline gives you a visual roadmap of exactly where every lead stands.
- Navigate to Opportunities in your left-hand menu.
- Click Pipelines at the top.
- Click the Create New Pipeline button.
- Fill in the details (like the pipeline name and specific stages) and click Save. (Pro tip: Customize your stages to match how your team actually works—like New Lead, Booked Call, No Show, and Closed!)
Part 2: Import Your Existing Contacts
Got a messy spreadsheet of old leads? Let’s turn them into active opportunities instantly.
- Navigate back to Opportunities.
- Click the Import icon.
- Select Opportunities and click Next.
- Upload your CSV file and click Next.
- Map your file columns to the correct Opportunity fields in HighLevel, then click Next.
- Verify all the information looks correct and click Start Bulk Import.
Part 3: Add Opportunities Manually
Sometimes a lead comes in through a direct message or a handshake, and you need to drop them in fast.
- Navigate to Opportunities.
- Click Add opportunity.
- Select an existing contact from the dropdown or type in the details for a brand-new contact.
- Fill in the specific Opportunity details (choose the pipeline name, the stage, and assign a dollar value).
- Click Create.
Part 4: Automate Opportunity Creation
Want to keep your pipeline tidy without the extra clicks? Automate it so new leads drop in hands-free.
- Go to Automation → Workflows in the left menu.
- Click + Create Workflow → Start from Scratch.
- Click + Add New Trigger and choose Form Submitted.
- Select the specific form that captures your lead info and hit Save Trigger.
- Click the + (Add action button) below your trigger, then choose Opportunity → Create/Update Opportunity.
- Pick the Pipeline and Stage you want these new leads to drop into. Set the Status to Open, enter a lead value, and click Save Action.
- Toggle the top-right button from Draft to Publish and hit save.
(Bonus tip: You can swap out the trigger to automatically move leads when a customer books an appointment, pays an invoice, or gets tagged!)
