You just had an incredible discovery call with a hot prospect. They are highly qualified, they have the budget, and they are practically begging for your top-tier service. You hang up the phone feeling like a winner. You quickly scribble their name and a potential $10,000 deal value on a sticky note and slap it on your monitor.
Then the day gets crazy. Client fires pop up. Your inbox explodes. By Thursday, that sticky note has fallen off your desk and into the trash. A week later, you realize you completely forgot to send the proposal. You call the prospect back, only to hear they just signed with your biggest competitor because they never heard from you. You just burned a massive deal because you relied on your memory instead of a system.
You cannot scale an agency if your sales pipeline lives in your head, on a notepad, or in a random Slack thread. HighLevel fixes this instantly with Opportunities. By actively creating an Opportunity, you turn a simple contact into a trackable, high-value deal card. You can assign it to a rep, track the exact dollar value, and follow the prospect from the first conversation to the final closed deal. Let us get your sales pipeline organized.

Part 2: Attach the Prospect
Every deal needs a face. Let us link this opportunity to a real person.
- In the creation window, select a Primary Contact from your list of saved CRM contacts.
- Ensure their email and phone number auto-populate. If this is a brand new lead, you can enter these details manually.
Part 3: Map the Deal and the Dollars
Now we tell the system exactly what this deal is worth and where it belongs.
- Add a custom Opportunity Name (e.g., “Smith Roofing – SEO Retainer”) or simply keep the default contact name.
- Select the specific Pipeline where you want to add the opportunity.
- Choose the appropriate Pipeline Stage (e.g., “Discovery Call Complete” or “Proposal Sent”).
- Set the Opportunity Status. Keep it set to Open for active deals, or choose Won, Lost, or Abandon based on the outcome.
- Enter the Opportunity Value. Do not skip this! Logging the potential revenue is what fuels your sales projections and pipeline forecasting.
Part 4: Assign Owners and Custom Data
Deals die when no one is accountable. Let us assign responsibility.
- Assign an Owner to the opportunity so your team knows exactly who is responsible for closing the deal.
- Add Followers to the opportunity. You can add multiple team members who need to stay updated on this prospect’s progress.
- Fill in any Additional Fields you need for context, such as Business Name, Opportunity Source, and Tags. (Depending on your setup, you can also fill out custom fields here like Task Type, Efficiency Rating, or Time Tracked).
Part 5: Save and Verify
Lock it in and watch your pipeline grow.
- If you need to tweak your custom data points, you can click Add/Manage Fields right from this window.
- Click the Create button to save the opportunity.
- Check your pipeline board to verify the new opportunity card is sitting exactly where it should be.
Centralizing your deals into trackable opportunities ensures your team knows exactly who to close next and keeps your revenue projections dead accurate.
